Document Imaging
Records that are routinely reviewed by multiple employees, such as medical
patient charts or legal documents can be misfiled or lost, and are only
available to one person at a time. With digital copies of your documents,
instant and accurate information is available to your employees without a
trip to the filing cabinet or waiting for another department to return a
file.
Major hazards to your company's information include fire, flood and theft.
Paper documents are susceptible to all three as well as the risk of security
breaches, be it a misfiled document or a nosy employee. With digital imaging
your documents are protected while streamlining your workflow.
Our Document Imaging Services
- Scanning only: ARM can scan your documents using our high speed
document imaging equipment. This service requires document preparation to be
done by the client, generally including some means of document separation
(barcode, blank pages, patch code). Documents can be scanned into a variety
of formats including TIFF, PDF, BMP, and JPG.
- Preparation and Scanning: ARM can prepare your documents in
addition to scanning. All connective materials (staples, paper clips,
binding, etc.) are removed from your documents. ARM will also work with you
on choosing the most efficient means of document separation (separation of
one document from the next).
- Preparation, Scanning, and Indexing: This service includes all of
the above with the addition of ARM providing index fields for each document
for retrieval purposes. The indexing service can involve several capture
means such as:
- OCR capture of index information on the document itself
- Barcoded indexing information read from barcodes placed
on the documents
- Manual indexing of the documents (most labor intensive)
Once we are completed with the services that you request, your documents can
be provided to you in a variety of ways:
- CD or DVD, including both images and index information (if
requested)
- Transferred via our in-house web/FTP server
- Imported into your own document management system
